Export Data
Purpose
Use Export Data to download form entries with precise filtering so you can report, audit, or migrate submission data.
Prerequisites
- Form submissions are being saved to database.
- Open Reports -> Data Management -> Export Data.
- Confirm which date window and forms you want to include.
Available filters and options
- Date presets: last 7, 30, 90, 180 days, all time, or custom dates.
- Form filters with select-all/deselect-all behavior.
- Entry status filters (all, clean, flagged, confirmed spam, confirmed clean).
- Column selector for exported fields.
- Live preview count of matching entries.
- CSV export action.
Export workflow
- Choose a date preset or set custom dates.
- Select forms (or leave all unchecked for all forms).
- Pick entry status and export columns.
- Confirm preview count looks correct.
- Click Export CSV and save the file.
Verification checklist
- Preview count updates when filters change.
- Export file name includes date context.
- CSV columns match selected export columns.
- Sample rows match expected forms and statuses.
Common issues and limits
- No download starts: verify browser download permissions/pop-up settings.
- Zero preview count: one or more filters are too restrictive.
- Missing fields: add those columns before export.
- Export size limit: exports are capped at 15,000 entries per file; split large exports by date ranges.
What's Next
- Manage entries to clean data before exporting.
- Spam management to remove confirmed spam before reporting.
- Form entries to inspect records before final export.
